Terms of use

These terms apply to the indexation letter generator and the “My space” area of indexation-loyer.be (“the service”), published by Edouard Hennin (see the legal notice). Last updated: 1 October 2026.

1. The service

The service calculates the indexation of a residential rent in Belgium, drafts the notification letter to the tenant and keeps the file (lease, letters, entered details) in a space reachable by link, so that you can find and edit it, receive next year's letter already calculated and pre-filled, and be alerted when a rule affecting your lease changes. The service is free and provided “as is”: a calculation and drafting aid, not legal advice.

2. Your space, without a password

The email address you give to receive the letter identifies your space. Access is through personal links in our emails (valid 30 days, renewed with each sending) or through an access link requested from the “My files” page (valid 15 minutes, single use). You are responsible for the confidentiality of your mailbox; we never ask for a password.

3. Data we keep and why

For each file: your email address, language, lease details (base rent, dates, region, EPC class), the landlord, tenant and property details as you entered them, the history of generated letters, the dates of interaction with your space and the proof of your acceptance of these terms (date, IP address, text version). We do not keep PDF files: they are regenerated on demand.

Purposes: (1) finding your files, letters and calculations; (2) the pre-filled annual letter and anniversary reminder; (3) alerts when a rule changes for your lease; (4) managing several properties, duplication and export; (5) checking a past indexation; (6) anonymised statistics to improve the site; (7) information about the publisher's other tools for landlords, as a mention in our service emails (see article 6).

4. Your tenants' data — you are the controller

The tenant's details (and those of a landlord you may represent) are data you enter to manage your lease. You are their controller under the GDPR; indexation-loyer.be acts as processor (art. 28 GDPR): we process them only to provide the service described above, on your instructions, never for our own purposes (no prospecting of tenants, no transfer, no named use). By using the service you confirm you have a lawful basis (the lease) and undertake to inform the persons concerned (art. 13 and 14 GDPR). You can edit or delete these data at any time from your space.

Sub-processors: Hostinger (server and database hosting, EU), LWS (email sending), Cloudflare (site delivery). In case of a security incident affecting your data, we inform you without undue delay.

5. Retention and deletion

A file is kept while it is active. After 24 months without any interaction we send a warning; without reaction within 30 days, the file, its letters and the annual letter are permanently deleted. You can delete a file at any time from your space or through the deletion link in every email; deletion is immediate and irreversible. You can export your data (JSON and PDF).

6. Emails

Our emails are service emails: letter sending, access link, annual letter, rule alerts, warning before deletion. They may contain a short mention of the publisher's other tools for landlords; you can stop this through the link in every email. We send no newsletter without your separate consent.

7. Liability

Calculations rely on the indices published by Statbel and on the regional rules described in our methodology. You remain solely responsible for the accuracy of the data entered, for checking the legal conditions of the indexation (registered lease, EPC communicated, deadlines) and for sending the letter to your tenant.

8. Changes

The service and these terms may evolve; the applicable version is the one accepted with your latest letter (its date is in your file). Substantial changes are notified by email.
